CUB SCOUT ROUNDUP
March
- · Contact group who did it last year for tips. Always the rank before you.
- · Ask one of the den leader’s for a key to All Saints so you can get the boxes for the roundup.
- · Coordinate with the Cubmaster and Assistant Cubmaster and come up with a date and backup date. Usually the last Wednesday in May. Set up at 6:30, orientation/registration from 7-9pm.
- · Fax the reservation form found in the Handout section of our website to Gillette School Admin offices, (phone: 647-1200 x1034) to reserve the Gillette School All Purpose Room and Library. Note: The AP room is where the kids will be and the Library is where the adults will have their orientation/registration.
- · You will need to roundup at least 2/3 parents from each Wolf den to help out for the evening. It is not a good idea to have all the kids from the Wolf dens there. A few is fine to help show the younger kids what to do and what the uniforms look like.
- · Get in touch with the Registration Chairperson to find out how many registration forms need to be ordered. Let the person know the date because they will need to be there. Note: the Registration Chairperson is also responsible for putting dens together.
- · Contact the Pinewood Derby Chairperson with the date and remind him to bring in the test track, cars, sample kit, and rules and regulations. Have him stay to answer any questions and man the track.
April
- · Send a copy of the roundup flyer to the Superintendent for approval. Ask her to place it in the Friday Flyers.
- · Contact Pipeline editor to have Roundup information included in May Pipeline. The Pipeline is a school newsletter that gets emailed to all parents. The contact info can be found there.
- · Contact the Community Center at info@lhcommunitycenter.org to have them put the Roundup info on the Bulletin Board on Valley Road. No cost. The board should say: New Cub Scout Overview/Registration, May XX, Gillette School, 7pm.
- · Call Echoes Sentinel to place an ad. They are usually free. A notice should be put into the Articles Section (2 weeks before the event) and one in the Events section.
- · Call the Scout Shop, 1 Saddle Road, Cedar Knolls, New Jersey 07927 (973) 765 9322 and ask for the recruitment contact Beth Miller Porter- or email her at beporter@bsamail.org to order the following materials (materials are free): (Check the box first to see what is left from last year). You have to go to Cedar Knolls to pick up the materials.

May
- · Contact Gillette School secretary to arrange for a Kindergarten introduction to Cub Scouting. The 1st graders will dress in their uniforms and visit the Kindergarten classes for a few minutes to take about their first year in Cub Scouts. Should only take 5-10 minutes tops. 10 is probably too long. This is done the day before the Roundup.
- · Email the Superintendent to ask for permission to place 2 signs outside of Gillette School the day of the event. They MUST be taken down at the end of the event. (Signs should be in All Saints attic.)
September
- · Put a notice in Friday Flyer/Echos to invite boys to the September Pack Meeting if they have not already registered for Cub Scouts.
DAY OF EVENT – GILLETTE SCHOOL
All Purpose Room
- · Before starting the crafts, Cubmaster explains to the kids what happens in a den meeting. Run a mini den meeting. Start with the Pledge, the Cub Scout Promise, the Law of the Pack, the motto and then break the kids out for their crafts. Writing this info down on a sheet of poster paper will make it easy for the kids to read it.
- · Make sure to have tablecloths to cover the tables to protect them from crayons, glue, markers, etc.
- · Have 3 crafts prepared: (You don’t have to use these and there are samples in the box.)
‒ 1 big craft (ex. Bird feeders)
‒ 1 medium craft (ex. Masks)
‒ 1 simple craft (ex. leaf rubbings, mazes, coloring pages etc.)
- · Have custodians pull out 4 tables
- · Have the Pinewood Derby Chairperson bring in the test track, cars, sample kit, and rules and regulations. Have him stay to answer any questions and man the track. This does not always happen depending on his schedule.
- · Get scrapbook pages and display on windows sills. In attic at All Saints.
- · Display Tiger Handbook
- · Display anything that you have made
- · Display Calendar of Events
- · Display Summer Camp Brochure
- · Have pictures running on a laptop to show past events
