1.     III.      Insurance- $10,000 has been added for contents that are in the shed premiums did not go up

2.     Sponsors- Westlers, Eagles, Arni’s, Farmers Bank, John Deer, Encompass CU, TL Myers, Hancock Automotive, Kirby Risk  have all paid

3.     Uniforms- Will be working with MCF

4.     Field- Contracts were signed last week, Frankfort Softball donated $10,000 towards the field

 

·        New Issues:   Drag- will be purchased after March 1, 2017

·        P.J attend meeting in Lafayette to schedule opening and closing tourneys. P.J will offer to host opening and closing pixie tourney also try to host closing 12U tourney.

·        Flyers: will be taken to the elementary schools next week

·        Scheduling meeting will be held April 4,17

a)      Fall Ball- Frankfort will host games, 8u will play on Saturdays 10U plays both Saturday and Sunday. 12U will play on Sunday.

b)      Board positions- John Rockhold has been appointed treasurer and Danny Estes has been appointed Parent Advocate Danny won by a vote of 5 to Jeff 4

c)      By Law Votes- No refunds will be given motioned by Michaella 2nd by Stevie, Smoking law changed to no smoking except past fence sign motioned by Michael and 2nd by Kirk, President can only sign releases with board unanimous vote motioned by Kirk and Danny 2nd

d)     Middle School Field- hopefully bid will go out in 10 days Mayor went on vacation which put a hold on sending bid out

IV.      New business

a)      Donations- Wabash National donated $1000

b)      Pitching mound- Michael will get an estimate for pitching mound from Monticello

Coaches will be picked on 7/24 scheduling meeting will be July 31st from 1-3 at YMCA

  1. By law changes- All league releases must be voted upon by the board and signed by the president only, if not unanimous vote must appeal with Lafayette board, Kristina motioned and Mike 2nd motion, No refunds given after registration has been paid (ie: extreme circum stances only) Mike motioned and Kirt 2nd Smoking will be allowed past fence by the outfield. Stevie motioned Michaella 2nd all with unanimous vote

  2. Gear—All equipment must be turned in within 1 week of last game.

  3. Field- Bid still has not been sent out but it wrote up by the attorneys. PJ has to meet with Sam Payne regarding building.

  4. Restrooms- Have not been started yet will be checked to see the status

  1. Fall Ball- We have offered to host fall ball. Have not heard if we have been takin up on the offer yet. We have not heard how many teams will be playing. Sign-ups are July 19th from 5-8 pm at Green St park Cost will be $40 a child

  2. Positions- Open election spots. Parent advocate, Vice President, Grounds Keeper, Concession Manager West and East.

  3. Nominations: Pj has nominated Mike Spencer for vice president, Angie Stephenson for concession manager West, and Stevie Cook for grounds keeper. I have nominated Danny Estes for Parent advocate. All nominees have 2 weeks to accept or deny.  Angie has accepted concession director for West, Stevie Cook has accepted for Grounds keeper, and Mike Spencer has accepted for Vice President.

  4. Fan Wear- All-star fan wear orders must be in by Tuesday June 28th to be done by July 5th. Shirts will be white with blue lettering cost will be $12-$15/ shirt

  5. Next meeting will be July 17th @ 8pm for nominations for open positions. We will also meet on July 24th @ 8pm at Green St park

  3. Open issues:                                                                                                                              

    Changing by laws that kids can only have a sign of release by the president. All releases must be voted upon and have majority rule to be signed. If release is not signed, then participant must then address Lafayette board for release.

    No refunds will be permitted to any girl that has signed up to play.

    Restrooms- Hopefully will be done by fall

  4. New business

  1. Fan Wear- all but a few have been passed out and without any issues

  2. Concessions- breaking even with paying umpires and parents

  3. Field-  Bid will be going out in 2 weeks for the field to be done.

  4. Team Issues- Discuss everyone doing their responsibilities

  5. Coach Responsibilities- to make sure things are done completely, that everything is locked up

  6. By laws for smoking- Smoking is permitted past the sign on fence rather than 20 feet from playing field

  7. Scoreboard- NHK and Bailey Trucking split donating the scoreboard, NHK paid for sign prior to the score board so they are now being credited for the sign they purchased. NHK also want to be team sponsors every year going forward.

  1. Sponsorship- 28 paid sponsors that is with the 6 team sponsors that we need

  2. Deep freezer- Purchased from McCullum we paid $550 they paid us $400 for a team sponsorship & sign

 

VI.      New business

  1. Teams- we have 6 total teams 2 pixie teams 2 cadet teams 1 junior team and 1 minor team

  2. Restrooms- Parks department want to tear down the existing restrooms and rebuild where they currently are.

  3. Mower- PJ has bids from pheniox, John Deere we will be buying a new one in the future so that we can maintain our own field

  4. Field- must be taken care of, if you need something contact PJ or Kristina. The school will get 10% of concessions that we use

  5. Concessions- Must have at least 1 18 yr old at all times in stand

  6. Sheets- Inventory must be kept of all things sold

  7. Uniforms: All players will get what they ordered, if it does not fit then parents are responsible for the cost for replacement

a)       Sponsorship- Will be contacting all sponsors from last year and still branching out to new business to sponsor. Amanda will be contacting her sponsors she was able to get last year

b)  Fees and fundraising- We will not have a fundraiser this year and fees will go up $5 for each level. Pixie $70 Cadets $75, Juniors $80, Minors $ 85.There will not be any refunds given back

c)  Gear- All gear is in and at Green St. Kristina will make tags to mark team bags for each level

d)    Signups- Will be Jan 27th and Feb 17th will not accept any applications after Feb 17th so insure all uniforms arrive on time.

VI.      New business

a)      Evaluation dates- Pixies will be Feb 22nd,  Cadets Feb 23rd , Juniors Feb 24th, Minors Feb 25th from 5-8 pm

b) Uniforms- Will be using Janae for our uniforms as last year, will have uniforms no later than the 2nd week of March

c)Fan Wear- Michaella is coming up with a design but must be approved before submitted

d) Forms- Board approved all forms including Code of Conduct, Coach Applications, and Sponsorships

e)Umpires- Umpires will be paid $40/game each umpire must attend umpire class that is TBA

f) Misc.: Any tournaments on Sunday cannot start any earlier than 1pm per Greater Lafayette, Lineup cards must have girls first and last name along with her number on each card. Scheduling meeting will be @ Faith church in Lafayette on April 10th,

g)Season- Opening tourney will be April 22nd First game will be May 2nd, last game will be June 27th

h)  Flyers will be distributed to Suncrest, Blue Ride, Green Meadows and Frankfort Middle School.   Each parent of a child playing will sign code of conduct. Aaron will make form with the consequences wrote up by evaluations for each parent

i)        Score Board- P.J is talking with Farmers bank about giving us funds for a new scoreboard. Should know something in next few weeks

  4. Smoking policy- No smoking from the beginning of the fence on.

  5.  Other issues---- All coaches must keep up on field maintenance

  6. Locks- After any lock is opened the code must be switched up so that no one can look at the lock and get the code to unlock them

Ø  Sign Up Fees- vote next meeting on fees

 

Ø  Sign up dates: Will pass flyers out to schools. Sign up dates are January 27th and February 17th from 6-8 at FMS

 

Ø  Fundraising- bring ideas to next meeting to be voted upon

 

Ø   Umpires- Go to the umpire class in Lafayette if available; to get refresh on newest rules.

 

v  Equipment- Have 8 sets ordered and 2 more pixie sets. Coaches will inventory everything they are given at beginning of season

 

v  Fields- the FMS field will be started this year will have to wait to have a timeline of when finished.  Restrooms at Green Street are suppose to be redone this year as well

                                    Meeting Minutes



August 30, 2015 

                              Call to order: P.J Whitaker called to order the regular meeting of the Frankfort Softball Board at 7:33pm on August 30, 2015 at Green Street Park.                                          


  1. Roll call: Michaella Hutchison conducted a roll call. The following persons were present: Steve Cook, Kirk Kingma, Amanda Rios, P.J Whitaker, Aaron Harper, Michelle Lunsford, Kristina Martinez

 

 

  1. Fall Ball:

  2. Game Schedules were touched on briefly with coaches putting all home games on calendar

  3. Concessions- We will be selling out of everything we have in stock and only buying the necessitaties

  4. Umpiring- Cadets and Junior league will only have 1 paid umpire at each home game. Home games will be umpired by Tom Toney or Kaitlin Pitman

  5. Fence Sign- Will be putting a sign up for Encompass and Farmers bank’s

  6. Practices- Pixie, Cadet, and Juniors will be allowed a maximum of 1 hour and 30 mins

New Field 

  1. Mayor asked the council for $40,000 for field at the Frankfort Middle School. This will allow the junior and minors to be able to use the field as well

  2. Field Maintenance- After every game the field must be heavy dragged.

  3. Equipment- P.J was able to purchase 8 sets of equipment for $1400. This allows each team to have a new set. Will do an inventory check with each coach as it is passed out at beginning of each season and at the end of each season for all coaches
