Raymond Soccer Club Meeting Minutes

July 13, 2016

In Attendance:  Bill Walsh, Shana Walsh, Jen Darois, Bill Mason, Julien Duffaut, Jay Cunha, Jason Palmer, Scott Rogers, Debbie Papamichael, Tom Sowinski, Dave Elliott, Beth Clark

 

Meeting Started at 7:10

Treasurer Report: Current Balance: TBD

 

New Business:

  • Fall Fundraiser: Considering selling hats (baseball caps) , requiring either a buy out option or mandatory selling amount. Or cookie dough. In the past, cookie dough raised about $5k.

  • Dave Elliot and Tom Sowinski came to speak about Granite State FC. They are interested in working with RSC to provide additional training for top players, in addition to local trainings. The benefit would be that the training times and games would be coordinated with the local league so players wouldn’t miss out.

  • Town Fair: Selling simply priced baked goods worked well, would like to add apparel for sale. Can be run with 1 or 2 adults and kids. Whoopie pies, and cookies were sold, close to breaking even (which is great considering the weather). Have Freeze pops left over, that can be used for future events.

    Thank you to Jason Palmer, Chris Finnegan, The Cramers, The Walsh’s, The Backus’s, Papa Fred, and Sharon Reed  for helping out at the table.

 

Competitive Soccer:

  • Discussed switching from original uniform choice (Sulley’s) to Score.

  • Mandatory uniform meeting July 27 from 6-9pm

  • Need U10 girls, U14 girls, and U14 boys

 

Developmental Soccer:

  • Looking for volunteers to help coordinate developmental season- July 20th 7:00pm

 

Other items:

  • Having a table at the jamboree to raise money for a player. Selling decals for $10. Possibly a patch.

  • Investing in instructional website or professional coaches instruction

  • Looking for board members (fill open positions) and volunteers!

Meeting Started at 7:15

Minutes motioned by Bill Mason and approved by Joe Saluto

Treasurer Report: Current Balance: $6200 (Spring Soccer still needs to be paid)

Competitive Soccer:

  • Try Outs:

    • Set up: Arrive half hour before to set up tent & table for registration, Debbie and Shana will be there on Monday. Bring tent, table, pins, numbers, evaluation sheets

    • Registration: Keep registration open until evaluations start

    • Numbers for players: Fun Run numbers? Pin numbers on? Tape?

 

    • Skills & Drills- Jay will come up with drills and a map of stations

    • Grading- Will use evaluation sheets from last year

 

  • Assign coaches: Bill will put together the schedule by Friday and work out any issues before Monday.

  • Other thoughts & Concerns: Advertising for next year, banners with dates. Focus on increasing participation for next year. Supplemental Try Out if needed on June 16th.

Town Fair:

Radar gun, 1$ for 3 shots, post winners: Joe will look in to a speed gun

Sell Garb: Possibly sell iron on decals

Bake sale/ other ideas: Borrow a wheel from Fire Department

Ideas for manning the table throughout weekend – combined with basketball

Do we want to do this? Assign every competitive team a section of time to volunteer.

 

Other items: As a fundraiser, pair up with another organization to try and increase funds raised?

Bill has been in contact with the Blue Sombrero website, and can get it up and running soon. There will be a connection with Dick’s and RSC can sell soccer club apparel. (For next year).

He has update the Sponsorship form; he will begin sending it out to area businesses/organizations

Cross bar challenge for Jamboree for to raise money?

Having a team liaison from each competitive team take turns coming to meetings to check in on current events. Or having each coach attend at least (a certain number of meetings per season).

Congratulations to all Competitive teams for their performances in the Amherst Memorial Day Tournament.

Treasurer Report: Current Balance: $6894.51

Developmental Soccer:

Spring Session:

  • Participation at 70 kids, largest group the 3 and 4 year olds

  • Marc has asked that we consider upping the fee.  Are we owed one session from last fall from soccer sphere? Decided to add $160 and pay a total of $1000

 

  • Coach’s clinics (not until there is a commitment from Developmental coaches)- Planning is underway, Debbie will ask Dave, looking in to an early August meeting.

 

-August 25th Team Meet and Greet (name TBD)

-Jamboree August 27th

-Developmental Coaching commitments for fall? Bill will contact last year’s coaches and see if they are interested in coaching again this year.

Developmental VP? Looking in to a volunteer to fill this position for Fall

Coaches Uniforms? Talking with Sulley’s (Free uniforms for early coach sign ups?)

Developmental Uniforms- Will contact Sulley about shirts and socks

Competitive Soccer:

Fall coaching commitments- As of now, coaches seem set for fall.

Add number to shorts for fall uniforms? Discussion on numbered shorts- researching cost ($3-4), teams specific? Vote next meeting.

Coaches voted, unanimous choice was Adidas, dark green shirts and shorts, dark green socks and white stripes. Uniforms will be ordered online.

 

Town Fair/Concert Series:

Any volunteers to spearhead?  Still looking for a volunteer, schedule will be given to all teams to fill volunteer spots. Still plan on coordinate with basketball to take pressure off volunteers.

Popcorn and cotton candy with logo a possibility, looking in to pricing. Possibly glow sticks. Any other ideas are welcome.

 

Business/Long term ideas/Sponsors/Fundraising/ ”Good of the Game”:

Looking into possible fundraising volunteer

AJ working with town on several Cammet issues including parking and irrigation, larger project was discussed.

Discussed moving to Blue Sombrero, getting the site up and ready when the other subscription is up and looking in to merchandising with them.

Volunteer positions – we need to get out the word that we need help – solicit friends and team parents – to few doing to much.

RHS scholarship Committee:Tammy, Shana, Beth, Debbie and Jen. Scholarship decision in process.

$400 for Grad Night Sponsorship was decided

April 13, 2016

 

Plaque resolution – 2014 plaques almost all handed out, 2015 plaques in, have to figure who belongs to which plaque.

Developmental Soccer:

      • Spring Session:

          • Need to increase numbers – Bill has sent emails, dropped pamphlets, how about schools, other ideas to drive participation?

          • Marc needs numbers, been holding off hoping for increase.

Plan for summer events?  Advertise now for fall participation?

Competitive:

    • Coaches meeting on Thursday

    • Waiver for practice participation for non roster players

    • Fall session tryouts – set up and advertising

    • Uniforms Voting, should we allow coaches to voice on Thursday? Shana

Town Fair:

Treasury report:

 

Plaque Resolution: Plaques are arriving, 2015 should be here by end of week. 2014 are being resolved.  Will work on having plaques pre-prepared by banquet time (if not before).

 

Developmental Soccer:

 

  • Waiting to hear back with proposal from Marc Hubbard (as of Monday evening): Have still not heard back from Marc Hubbard, information has been given, another email will be sent to him to get the flier and registration going.

 

  • Sign Ups are going on now, they are charging $30

  • Registrations end 4/22

 

Communication:

                               TV- Tammy will add something to RCTV looking for coaches.

                               Schools- Flyers

Coaches (Bill has list from Scott Rogers): Email sent out, waiting to hear back for Fall.

                              

Developmental age grouping for Fall:

 

  • Change developmental categories to grade rather than age

  • Any ideas to entice volunteers: Advertise on RCTV, possible reimbursement of a player for coaching a team in the fall, must participate in coach smart training.

  • Next Coach Smart training will be on April 4th at RHS

  • Mentorship of developmental coaches by Competitive Coaches

 

Reformulation of Meeting Agendas: Pressing Matters- Developmental, Competitive, Fundraising, then other business. Debbie has calendar of past structures.

 

Competitive Soccer:

  • Coaches meeting still pending, Bill needs to work on letter to go out

    • Meeting agenda:

      • New age groups?

      • Suggest presence and assistance at spring developmental academy

      • Other: Disciplinary process, dealing with parents and players, proper channels for communication

    • Coaches Clinic: April 1st for competitive coaches that will be changing divisions

 

  • Spring roster availability:  

    • Spring tryout date for youth interested in joining a roster for the Spring: Attend next practices.

    • Roster Due March 20th, Frozen May 13th

    • Parents/kids interested in practicing with competitive teams during spring even if no spots available.  Waiver will be needed- Yes, can sign Rec. Waiver for liability

 

  • Tryout date for fall teams: June 6th and June 8th, June 7th and 9th (coaches meeting on Friday June 10th)

  • Communication:

  • Uniforms: Sulley’s samples, cost breakdown etc.. from Shana

    • Sulley:

      • Diadora 1: Heavier material, also in woman’s cut $26, Shorts:  Socks: White colored stripes $6.50 $ green black $53.50 total

      • Diadora 2:  Material similar to Adidas (matching tops and bottoms) $20, $14.40 total $41 No Woman’s Cut

      • Adidas: No Woman’s Cut, $16 for youth (comes in dark green and lime), shorts: 3 white stripes $9.60 (black or green) $43.20 total

 

Decision to be made by next meeting

 

    • No delivery fee, Could offer as a package, 10% off anything else, have extra jersey’s on hand if new one is needed (quick turn around).

Treasury Report: Pending

 

Jen Darois was nominated for Secretary by Bill Walsh, motion was seconded by Bill Mason. Board approved unanimously. Duties of secretary to be verified.

 

Indoor Training Update: uniforms should be ready to hand out.  Shana and I will take pics to post on the website.  Handout for spring program with basic info and dates to be created by Debbie Papamicheal.

 

Uniforms: Shana and Laura will be visiting with Sulley from Sulley's soccer and report back to us next meeting.  Deadline for decision after next meeting. HS uniforms needed for spring. Considering personal pay option again.

 

Caramba Summer Camp: July 11-15 Handouts given by Jorge Pardo to distribute at winter indoor soccer and other events.

  • Jorge also willing to do anything to help, including coaches training.

 

Family Fun Night Recap: Thanks to Jason Palmer and Kendra Ferm for their help, Handed out cups and balls that were donated to the club, offered a game for kids to play. Lots of word of mouth and information about the club handed out.

 

An update on U12 Strength and Agility Training from Jason Palmer, girls team enjoyed training. Team was engaged, and focused and had fun. Session consists of 15 minutes of stretching followed by training. Contact Jason Palmer with more information.

 

Spring Academy Style Training:

  • ·       Flyer ready for last session of indoor

  • ·       Need developmental coaches to volunteer

  • ·       Competitive coaches must take part, in my opinion

  • ·       T-shirts Uniforms

Working with Mark Hubbard in Soccer Sphere to run program, push to get parents and all coaches involved. Flyers will be forwarded to coaches to send home. (Looking for coaches emails!)

 

NHSL Board Meeting: Letter sent out by Debbie – No heading rules this year, virtual game passes going forward, hard copy of rosters still needed. May 21st is Rev’s game.

 

Setting up mandatory competitive coaches meeting , all coaches will be contacted. Meeting must take place prior to spring session.

 

Need to verify and fill open board positions. Open other volunteer positions.

 

Bill Mason spoke about restructuring ideas for fundraising/sponsorships. Ideas included banners, web presence, more opportunities for sponsorships, kicking wall, or field sponsors.
